2. What data we collect

Depending on how you interact with us, we may collect:

  • Contact and identity data — name, email address, phone number, company name, job title (e.g. when you complete a form, book a call, or message us on WhatsApp)
  • Enquiry data — the content of your messages, form responses, and call bookings
  • Communications data — records of emails, WhatsApp messages, SMS, and telephone calls with us, including call recordings and transcripts where notified at the start of the call
  • Technical data — IP address, browser type, device information, and website usage data collected via cookies and similar technologies (see our [Cookie Policy])
  • Marketing preferences — your opt-in/opt-out choices

We do not knowingly collect data from children, and our services are directed at businesses and adults only.

4. AI-assisted communications

Some of our chat and telephone interactions are handled by AI assistants. We will always identify AI assistants as such. Conversations handled by AI are processed and stored in the same way as other communications data and may be reviewed by our team.

5. Who we share data with

We use trusted third-party service providers to operate our business, acting on our instructions under contract, including:

  • Messaging: WhatsApp Business Platform and associated providers [e.g. CX Wizard]
  • Automation and data validation: [Make.com], [Byteplant]

We may also disclose data where required by law, or in connection with a business sale or restructuring.

We do not sell your personal data.

6. International transfers

Our service providers may process data in the United States and other countries outside the UK. Where personal data is transferred outside the UK, we use appropriate safeguards such as the UK International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses, or rely on UK adequacy regulations where available.

Where data is accessed by our group in the Seychelles, such transfers are made under the UK IDTA.

7. How long we keep your data

  • Enquiry and lead data: [24] months from last contact, unless you become a client
  • Client records: duration of the relationship plus [6] years
  • Call recordings: [12] months
  • Marketing suppression records: retained indefinitely to honour opt-outs
  • Cookie consent records: [18] months minimum

8. Your rights

Under UK GDPR you have the right to: access your data; correct it; request erasure; restrict or object to processing (including objecting to direct marketing at any time, which we will always honour); data portability; and to withdraw consent at any time where consent is our lawful basis.

9. Security

We use appropriate technical and organisational measures to protect your data, including access controls, encryption in transit, and vetted processors. No system is completely secure, and transmission of data is at your own risk.
